India has no single national criminal records database, which shapes everything about screening there. Verification is distributed, address based, and usually handled through specialist agencies rather than a single official check.
Criminal record checks
The formal document is a police clearance certificate, issued by local police or through the passport authorities and tied to a specific address. Because records are held locally, a candidate who has lived in several states may need checks in each, and a single certificate does not give national coverage. Court record searches through screening vendors are commonly used alongside it. Screening is expected in financial services, technology, private security, education, healthcare, and roles involving cash or sensitive data.
Employment and education verification
These are the workhorses of Indian screening. The universal account number and provident fund records give a reliable trace of formal employment, and the national academic depository allows degree verification. Both employment and qualification fraud are recognised problems, so verification is standard practice rather than an optional extra.
Data protection
The Digital Personal Data Protection Act establishes consent, notice, purpose limitation, and security obligations, along with rights for individuals and penalties for breaches. Obtain clear consent before screening, give candidates notice of what is collected and why, and keep retention limited.
Checks to handle carefully
Caste, religion, and community are protected characteristics and must play no part in screening. Health testing should be limited to fitness for the specific role, and HIV status cannot be used as a hiring filter.
Practical guidance
Ask for address history upfront so checks can be scoped properly. An employer of record can manage screening and onboarding if you have no Indian entity.
