Paycom is an American HR and payroll service provider based in Oklahoma that works across the US. This is not only one of the biggest companies in this service space but also one of the fastest-growing and best-performing companies in the world.
Paycom Company Overview
Paycom has built a cloud-based service platform that functions as both payroll software and an HRIS or human resources information system. This platform allows clients to perform nearly all aspects of human capital management within a single space and that makes it efficient and cost-effective. Paycom handles payroll, taxes, expense management, time off, applicant tracking, time and attendance, performance management, and a host of other necessary functions.
Here I break down the key features, pricing and pros & cons of Paycom so you can decide if it is the right payroll provider for your business.
Paycom Key Features
1. Paycom Payroll
It would be a surprise if a company called Paycom didn’t focus on payroll services. Paycom started out as an online payroll processing company, and this is still its main function today. This provider’s online platform takes in time and attendance data and uses it to automatically calculate wages and subtract tax withholdings, deductions, and garnishments as necessary. Paycom also pays clients’ taxes, keeping track of their due dates and filing when necessary. It handles 904 and 941 tax forms for the business, as well as W-2 forms for employees and 1099s for contractors.
Paycom can manage payroll and taxes for all 50 states, even when a business files in multiple states with separate employer identification numbers (EINs). It also has a specific software package called Global HCM that can be used to manage payroll for both domestic and international employees for businesses that own entities around the world.
In 2021, Paycom added Beti, an enhancement to its payroll system that helps employees manage their own payroll. Since employees have the most to lose from payroll errors, Beti allows them to check their pay and expenses before payroll is submitted to help reduce errors and processing time.
Paycom offers other unique services to enhance payroll.
- It has a pay card service called Vault that lets employees access their pay through a debit card.
- Paycom Pay lets employees who don’t want direct deposits receive their pay through paper checks that draw from Paycom’s accounts. Its expense management function allows employees and contractors to submit expenses and have them approved and reimbursed easily.
GL Concierge software helps payroll managers customize and export their general ledgers to the accounting software of their choice.
2. Paycom Benefits Administration
Unlike many of its competitors, Paycom does not offer benefits provision directly. This is because it is not a full Professional Employer Organization, but handles automatic benefits administration, and it does this well.
Paycom has a Benefits-to-Carrier tool that allows employers to link their benefits information directly with carriers so that when selections, changes, and updates are made, this data goes straight to carriers. Employees are able to compare plans, see how deductions will affect their take-home pay, and make their own selections. When they have life-changing events, they can input these and work through the necessary changes themselves. Paycom also offers a 401(k) reporting tool that helps format plan reports for different carriers.
3. Paycom Compliance
Paycom makes tax filings and handles 940, 9041, W-2, and 1099 forms on behalf of employers. These filings and reports are automated and are therefore always on time and properly calculated..
It also has an Advanced ACA tool that helps manage Affordable Care Act compliance and reporting.
Paycom also has COBRA Administration HR Software to manage COBRA administration and reduce violations and fines for clients.
4. Paycom Recruitment
Paycom doesn’t actively recruit workers for its clients. It does, however, provide extensive software resources to help clients manage their recruiting function easily.
Applicant tracking system (ATS) that can help employers keep track of documents and schedule events with applicants.
Automatically post new openings to job sites, send out automatic rejection letters to unqualified candidates, produce completion notices, and even prepare and send offer letters to successful candidates.
It also automatically screens candidates to asses if the employer will qualify for any tax credits if they’re hired.
5. Paycom Platform
Paycom was one of the first HR and payroll services providers in the world to go fully digital. Its multiple services, from onboarding to payroll to benefits administration, are centered around its online cloud-based platform. This software is highly accessible and has received very good reviews for ease of use. It is, however, considered by users to be somewhat complicated and difficult to implement, which is not unusual for extensive HRIS applications.
The Paycom platform currently offers out-of-the-box integrations with nearly 50 other apps. These include HR, timekeeping, accounting, and finance apps like Grayscale, Workforce, ZayZoon, and CoCo. These integrations allow easy data sharing across different software packages and greatly enhance workflows.
Paycom includes a mobile app for iOS and Android devices that helps employees access their accounts with ease. They can check in and out of work, review their wages, request time off, review their schedules, and more with this handy app.
Paycom’s platform is compliant with SOC 1, 2, and 3 controls and is ISO 27001, 22301, 27701, and 9001 certified. These quality standards represent a strong commitment to protecting user data and privacy.
6. Paycom Human Capital Management
As a complete HRIS, Paycom offers extensive human capital management features that help HR professionals and managers save time and resources.
It offers management and storage for documents related to employees and compliance with state and federal regulations.
Its Ask Here function helps route employees’ work-related questions to the right people in your organization to save time and reduce confusion.
Includes performance management features like appraisals and goal alignments as well as employee experience features like surveys and performance discussion forms.
Compensation budgeting feature that helps with planning salaries for new positions.
Paycom Pricing
Paycom doesn’t publicly display its pricing. Like many of its competitors, it prefers to provide personalized quotes based on each client’s needs. This approach makes sense, as Paycom offers a broad selection of core and optional services, along with a strong focus on customer support, so pricing often depends on the size and complexity of your business. That said, we’ve done some digging and found baseline pricing details to give you a clearer idea of what to expect, you can check out our Paycom pricing guide here.
Paycom Pros and Cons
- Pros
Comprehensive platform
Paycom’s platform represents an impressive range of functions. SMBs could easily use it as their sole HRIS for managing all of their employees’ HR needs.
Global payroll
Many US-based competitors are focused only on domestic payroll but Paycom allows clients to manage payroll for all employees and contractors no matter where they’re located.
Employee-focused
With Beti and the Paycom mobile app, Paycom shifts a large part of the focus of payroll onto employees. This reduces the burden on payroll admins and improves accuracy because more sets of eyes are checking the data.
- Cons
Fees not posted online
Paycom doesn’t post any prices online, nor does it even suggest how its fee structure works. This can make it difficult and time-consuming to compare its services to those of other providers.
No active recruitment service
While its platform has an ATS and other tools for managing recruitment, Paycom doesn’t offer any active recruiting services for its clients.
Limited integrations
While other platforms provide hundreds of useful integrations, Paycom has fewer than 50 and no public API available to use for custom integrations.
Paycom Unique Selling Point
Paycom’s unique selling point is its focus on employee-focused payroll. With Beti, it allows employees to check their payroll and claims that this helps to reduce errors by 90%. It can also help save time and HR resources while improving the experience for employees.
